Recording a handover note

How carers record, review and finalise a shift note, including gap detection and additional recordings.

From the shift dashboard, tap a resident tile to open the recording screen. The topic guide at the top of the page shows what is expected to be covered — it is informational, not prescriptive.

Recording

  1. Pick a template from the dropdown (defaults to the facility’s standard template).
  2. Tap the red Record button and speak. You can pause your thoughts — just keep talking until done.
  3. Tap Stop. The audio is transcribed and summarised into the template in a few seconds.

Reviewing the draft

  • Edit either the transcript or the summary — both are saved automatically.
  • Toggle "RN Follow-Up Required" if a registered nurse needs to review.
  • Toggle "Incident Detected" if something occurred that requires escalation.

Gap detection: adding missed topics

If the AI cannot find content for one or more template topics, a yellow "Not yet covered" prompt appears. You have two options:

  • • Tap Record more to capture an additional voice clip. It is transcribed, appended to the existing transcript and merged into the summary.
  • • Tap Add text manually to jump to the editor and type in the missing topic yourself.

Additional recordings

Additional recordings count toward the facility’s audio usage the same as the primary recording.

Finalising

When satisfied, tap Finalise. The note is locked (read-only) and appears in the manager dashboard. Finalised notes cannot be edited, only superseded by a new note for the same resident and shift.
