Getting started: Carers
From your invitation email to a finalised shift note — this is the complete onboarding flow for carers and nurses.
Your invitation arrives
Your manager will send you an invitation email. It contains your Facility Code (the code for the facility you work at) and your Staff ID(your unique identifier). Keep these handy — you'll enter them every time you sign in.
Create your PIN
Tap Set up my account in the email. You'll be prompted to choose a 6-digit PIN. This replaces a traditional password — it's fast to enter on an iPad during a busy shift. Enter it twice to confirm and tap Create account.
Sign in and select a resident
After setting your PIN, you'll land on the staff dashboard. It shows your current shift, a progress bar of how many residents have been documented, and your Done, Missing, and Alerts counts. Scroll down to see residents who still need a note under Ready To Document, and those already completed under Completed This Shift.
Record your observations
Tap Recordnext to a resident and speak naturally about their shift — mobility, mood, nutrition, personal care, anything relevant. The template chip strip shows the topics your facility wants covered. There's no set format: just speak as you would to a colleague at handover. Tap again to stop. Notive transcribes your voice and structures it into a clinical note using your facility's template.
Review and finalise
Review the generated note section by section. You can edit any part of the summary if something needs correcting. If an incident occurred or a nurse follow-up is needed, tick the relevant flag. When you're happy, tap Finalise note. The note is then locked, timestamped, and available to your manager instantly.
That's it
Recording a shift note takes under 90 seconds. Repeat the process for each resident in your shift. Your manager can see your notes immediately and will reach out if anything needs attention.
