Getting started: Managers
From your invitation email to a fully configured facility with residents and staff — this is the complete setup flow for managers.
Your invitation arrives
Notive will send you an invitation email. It includes your Facility Code— the code every person at your facility uses on the login screen. You'll choose your own Staff ID during setup.
Set up your account
Tap Set up my account in the email. You'll be prompted to choose a Staff ID (e.g. AJ01 or your employee number) and a 6-digit PIN. Enter the PIN twice to confirm, then tap Create account. Write both down — you'll need them every time you sign in.
Your manager dashboard
After signing in you'll land on the manager dashboard. The overview shows your facility's live counts — Residents, Staff, Done today (notes recorded across all today's shifts), and Missing (resident-shift combinations without a note). Tabs give you access to all notes, residents, staff, missing notes history, audit log, templates, and shift settings.
Add your residents
Go to the Residents tab and tap Add resident. Enter their full name, room number, and date of birth. Carers will see every active resident when they log in to record their notes.
Invite your team
Go to the Staff tab and tap Invite staff member. Enter their name, email address, and optionally a Staff ID (one is auto-generated if left blank). Select their role — Carer, Nurse, or Manager — and tap Send invitation. They'll receive an email with a setup link and their credentials, and can set up their PIN from any device.
You're all set
Once residents and staff are added, carers can start recording notes immediately. As a manager you can review notes, configure shift templates, monitor alerts, and export records at any time.
